In Catalyst, keeping account hierarchies accurate is critical for reporting and decision-making. One of the key roles that ensures this accuracy is the Business Owner. Business Owners not only manage specific hierarchies but also receive daily email notifications when accounts remain unassigned. This proactive process helps prevent unassigned accounts from distorting reports.
Â
What is a Business Owner?
A Business Owner is a designated user (or group of users) who has rights to edit and manage a hierarchy without requiring full Client Admin access. This role ensures responsibility for hierarchy upkeep is shared across the right people, without giving unnecessary system-wide permissions.
Business Owners can:
Edit and manage their assigned hierarchy.
Assign or reassign accounts within that hierarchy.
Enable or configure unassigned account notifications.
Help ensure reporting accuracy by preventing accounts from being left unassigned.
Why Business Owners Matter
Cleaner data = better reporting – Unassigned accounts create distortions in analytics until they’re mapped.
Focused responsibility – Delegates management to the right people without needing full Client Admin privileges.
Proactive oversight – Notifications keep accounts from “falling through the cracks.”
Requirements
To manage or edit a hierarchy, a user must be:
Assigned as a Business Owner for that hierarchy, or
A Client Admin with full rights.
Notifications for Unassigned Accounts
When enabled, Business Owners receive daily email notifications if there are unassigned accounts in their hierarchy that are up to the age threshold defined in their notification scope.
Delivery: Once per day (typically mornings).
Method: Email only (in-app alerts not yet available).
Content: Includes the unassigned accounts (up to the threshold you selected), showing the company name, hierarchy name, account name and ID, and the Created On date, along with a call-to-action and file attachment for mapping guidance.
👉 For instructions on how to map accounts, see Mapping Unassigned Accounts in Catalyst.
Notification Scope Options
When turning on notifications, you choose the scope—how “new” an unassigned account can be and still appear in the daily email. The email is a sample, and will return up to 50 random unassigned accounts.
Do not notify – No notifications are sent.
Always (no matter how old) – Daily email is sent if there are any unassigned accounts, regardless of how long they’ve been in Catalyst. Notifications continue until all accounts are mapped.
1 week – Daily email is sent if there are unassigned accounts that are ≤ 7 days old.
2 weeks – Daily email is sent if there are unassigned accounts that are ≤ 14 days old.
1 month – Daily email is sent if there are unassigned accounts that are ≤ 30 days old.
⚠️ Important: Each notification email contains up to 50 random unassigned accounts that Catalyst selects from the unassigned accounts table. Because of this:
You may see some older accounts in the email even if they fall outside the scope threshold you selected.
The email should be treated as a persistent signal that unassigned accounts still exist which were created within your chosen timeframe
To review the complete and most accurate list, always check the unassigned accounts table directly in Catalyst.
Example: How Scope Works
Imagine there are 100 unassigned accounts:
Example 1: 50 accounts that are 31 days old
Example 2: 20 accounts that are 30 days old
Example 3: 10 accounts that are 14 days old
Example 4: 10 accounts that are 7 days old
Here’s what you’d see depending on the scope:
| Scope Setting | Email Sent? | Examples |
|---|---|---|
| Do not notify | ❌ No | None |
| Always | âś… Yes | All examples generate an email |
| 1 week | ✅ Yes | Example 4 (≤ 7 days old) |
| 2 weeks | ✅ Yes | Example 3 (≤ 14 days old) |
| 1 month | ✅ Yes | Example 2 (≤ 30 days old) |

How to Set Up Business Owners & Notifications
Go to Administration → Site Management in Catalyst.
Select Hierarchy → Edit Hierarchy.
Open the Business Owners tab.
Add the user(s) or group(s) as Business Owners.
Configure the notification scope.
Save your changes.
From then on, Catalyst will send daily emails to the selected Business Owners whenever unassigned accounts meet the scope.
Business Owners are the guardians of hierarchy integrity in Catalyst. By assigning them and configuring unassigned account notifications, you ensure that accounts are mapped quickly, data stays accurate, and reporting reflects the true business picture.
Keeping unassigned accounts monitored and resolved is a best practice—and Business Owners make that process seamless.
